Personal Assistant
Location: North Charleston, SC

Part-time (20 hours/week)
Perform secretarial work and provide senior managers with day-to-day administrative support. Their duties include answering phone calls and managing correspondence, scheduling appointments, and making travel arrangements. They may also be required to organize events and run errands using their personal vehicle.

Duties and Responsibilities
• Operates personal vehicle in a professional, safe and courteous manner.
• Picks up merchandise from clients and vendors.
• Manage the Co-Directors’ calendars and planning meetings/events
• Leverage professional and social relationships to accomplish tasks
• Ensures customer messages/communications are relayed to appropriate management.
• Assists in maintaining a neat and clean workplace at all times.
• Entering data from spreadsheets, invoices, or other sources of communication into various other software.
• Printing reports, calendars, invoices, and other support documentation.
• Communicating with Microsoft Office, ZOOM, Google, and other video communication tools.
• Organizing relevant documents into physical binders and maintaining them in proper places.
• Filing and maintenance of documentation.
• Organizing meetings for co-directors and other members of the office
• Assisting wherever help is needed to get projects done in time and to keep information organized and confidential.
• Writing summaries of meetings and transcribing meeting notes into Google Drive.
• Keeping To Do lists and follow-ups.
• Keeping data for various projects imminent and reachable at all times.
• Keeping a calendar for all deliverables and assisting with time management for all projects.
• Contributing to keeping the office clean (daily maintenance of the dishwasher and sink).
• Assisting co-directors with personal projects if needed.
• Maintaining existing and developing new filing systems.
• Booking extensive travel and arranging all travel-related accommodations, meals, and excursions
• Assist with ad-hoc projects as needed

Education/Experience
High school diploma or general education degree (GED); or one to two years related experience and/or training; or equivalent combination of education and experience.

Knowledge and Skill Requirements
The ideal person for the job will be a proactive problem solver who is highly confidential, has exceptional communication skills, is exceedingly organized, pays meticulous attention to detail, and is self-directed. He/she will have previous work experience working in an office environment, performing administrative duties, and providing support to management.
Certificate/Licenses: Valid Driver’s License
Language Ability: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Math Ability: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills: To perform this job successfully, an individual should have knowledge of word processing software; Adobe Photoshop; design software; Internet software and database software.
